Lending

Lending activities (issue & return/check out & check in) of library resources are operated by the circulation section. This section handles the front desk operations of the library and it is very important because it is the first contact point for users to the library. Efficient functioning of circulation desk leaves a lasting impression on the users.

Library Membership

ULAB Library is an academic library and all ULABians can use the library resources. To avail the library services, all will be needed to become members of the library. Besides this, researchers beyond ULAB (local & abroad) can become members.

Membership Eligibility

All students, faculty members, BOG members, staff members of ULAB are entitled to become library members. Anyone else can become a community member, at the discretion of the Vice Chancellor / Library Coordinator/ Librarian/University Authority.

ULAB Members:

  • All users will need the official ULAB ID card to enter the library and to borrow books/Library resources. The ID card may be checked at any time.
  • ULAB will provide official ULAB ID to all Ulabians.
  • The library will provide a temporary ID card to part-time faculty members for use the library and borrowing books/Library resources during the term that they will teach at ULAB.
  • Part-time faculty members should apply to the Library through providing 1 passport size photograph and 1 stamp size photograph.

Community Members:

  • Community members will apply to Librarian with recommendation from ULAB faculty members/admin members /head of the concerned institution.
  • Community members will be allowed only having permission from Pro Vice Chancellor /Vice chancellor.
  1. Day use:
  • Day user membership card will be issued to community users/researchers /scholars who will want to use the library on that day /one day only. Membership charge is not required.
  • Day user will use library resources only within the library from 10 :00 am – 5:00 pm and they will not be allowed to borrow any library resources.
  1. Regular:
  • Regular membership card may be issued to community users who will want to use the library regularly – weekly /monthly /semester.
  • Regular members can borrow maximum two items at a time for a maximum of seven days.
  • The membership fee is Tk. 1,000 (one thousand) for non ULABians and 500 (five hundred) for ex-ULABians with the validity of one semester.
  • Regular community members who will wish to borrow books/library will need to deposit Tk. 2,000 (two thousand) for non ULABians and 1,000 (one thousand) for ex-ULABians to accounts office as library caution money.

Check out & Cheek in Resources:

Check out (Issue) /check in (return) of library learning resources is the routine operation of library. Proper sequence of activities will be followed to issue and receive of the library resources.              

Check out of book/resources:

  • Quickly glance the resources for any damage
  • Ensure that the user signs on the Book Card
  • Enter details issue information into software/LMS
  • Handover the book/resources to the user

Check in of book/resources:

  • Quickly glance the book/resources for any damage
  • Check due dates for fine calculation/necessary action
  • Cancel the entries from user account in LMS
  • Insert Book card into book pocket
  • Send the book/resources to stack for shelving

Borrowing entitlements:

Students:

  • Undergraduate student may borrow two (2) books at a time for a maximum of three (3) days and one (1) AVM/CD/DVD for one (1) day.
  • Graduate student may borrow 2 (two) books at a time for a maximum of 7 (seven) days and 1 (one) AVM/CD/DVD for 3 (three) days.
  • Newly admitted students can borrow books by showing their money receipts.
  • Journals, reports, magazines, newspapers and other periodicals cannot be borrowed.
  • Students can borrow (issue) all types of books from Library except text books, reference books (dictionary, encyclopedia etc.) and rare books.
  • Map & atlas and photographs are to be referred within library premises and cannot be borrowed.

Faculty Members:

  • A faculty member can borrow 6 (six) books at a time from ULAB Library.  Two (2) books can be borrowed for 14 (fourteen) days and the rest four (4) books for the full term/semester.
  • Back issue journals, reports magazines and newspapers can be borrowed.
  • Five (5) audio-visual materials/CDs/DVDs can be borrowed for 7 (seven) days.
  • Faculty member can borrow (issue) all types of books from library except reference books (dictionary, encyclopedia etc.).
  • Map & atlas and photographs are to be referred within library premises and cannot be borrowed.

BoG/BoT Members:

  • A BoG/BoT member of ULAB can borrow three (3) books at a time for a maximum of 14 (fourteen) days.
  • Current journals, periodicals, and magazines cannot be borrowed.
  • Five (5) audio-visual materials/CDs/DVDs can be borrowed for 7 (seven) days.
  • BoT/BoG member can borrow (issue) all types of books from library except reference books (dictionary, encyclopedia etc.).

Staff Members:

  • A staff member can borrow two books at a time for a maximum of three (3) days.
  • Back issue journals, reports magazines and newspapers can be borrowed.
  • One (1) audio-visual materials/CDs/DVDs can be borrowed for 2 (two) days.
  • Staff member can borrow (issue) all types of books from library except text, reference books (dictionary, encyclopedia etc.) and rare books.

Confined Resources

            Text Book: One copy of each text book will be confined for using within the library only and the confined books will be original and latest edition. The Reference Text books which are treated as text book will also be confined.

            Reference book: All the reference books will be confined.

            Rare and out of print books: Rare and out of print books which are not available in the market may be confined.

            Journal/Magazine: Latest copy/issue of all the journals and magazines will be confined.

            AVM: Rare and special documentary/movie may be confined.

Library Fine: 

Library fine is payable by all users for late return of books or library resources.

  • There will be an overdue charge Tk. 5 (five) for students, for each calendar day for each item.
  • Overdue charge Tk. 10 (ten) for faculty and staff members, for each calendar day for each item.
  • “No dues” certification will be cleared from library only after the library dues are fully paid up upon completion of program/study.    

Compensation:

  • Borrowed book/resources which is not returned within this semester will be considered as lost/damaged and the borrower will be considered as defaulter user.
  • User will inform to the library in person if the borrowed book /resource is lost, damaged / mutilated beyond usable condition.
  • Book/resource will be replaced by the user with the same or latest edition.
  • The borrower will be liable for the full replacement cost and accumulated fines of the item borrowed if the resource is not replaced.
  • The replacement cost of any item will be decided by the library authority and plus (+)20 percent charge will be added as service charge.

Recalling Books:

Library reserves the right to recall any borrowed book or library resource at any time.

Borrowing and Return Procedure:

  • The borrower will be solely responsible for keeping the borrowed books or resources in good and safe condition, and for their timely return. They also leave Circulation Desk after their books/resources are confirmed of returned.
  • Borrowed books or resources will be returned during library working hours.

Photocopy Services:

User can take photocopy services from photocopy section (out sourcing) which is attached with pigeonhole section in library area.

  • User can borrow library resources for photocopy purpose through depositing valid ULAB ID at the circulation desk as short-term loan.
  • Photocopies can be taken from books, journals, reports and newspapers etc.
  • Copyright rules are applicable for photocopy process at any given point, only up to 20% document can be photocopied.
  • Photocopy of any documents cover to cover is prohibited.

Theft and Misuse of Resources: 

  • The theft or abuse of library resources, like books, journals, reports magazines, newspapers etc. will be treated as serious offense.
  • Such case will be reported to the Registrar and Proctor for official action.
